We currently have an exciting opportunity for an Administration Officer (Clinic Administration) within Enable Ireland Cork Children’s Services (Permanent and Part Time 30.5 Hrs/Hours per Week (.824 WTE))
(**Please note a panel will be formed for 12 months for any future vacancies which may arise during this period**)

The Role:  To provide a wide range of administration supports to Clinic Teams, Children’s Services Manager and Administration Manager

Overview of Roles and Responsibilities:

• Provide administrative supports to the clinic as follows:
o Provide all necessary administration supports to teams and clinics to include typing of meeting agendas, team minutes and I.S.P’s, updating Goldmine and service user hard and soft copy records in this regard and any other administration supports as required
• Provide typing services to support general clinic administration to include:
o Letters, reports, submissions, mailings, memos, agendas, minutes (to include attendance at meetings as required), and any other correspondence as delegated
• Assist with the preparation of files as requested under FOI and GDPR
• Organise client charts in time for clinics
• Establish and maintain efficient office practices as to support the efficient workings of the clinics
• Establish and maintain efficient office practices as to support the efficient workings of the clinic
• Maintain effective filing and archiving (hard and soft copies) of all Service/Service user records
• Become proficient in the use of the Enable Ireland Service User database – Goldmine.
• Process and issue consent packs to all referrals
• Provide administration supports as required to the office of the Children’s Services Manager
• Provide administration supports as required to the Administration Manager
• Provide reception/switchboard support for break and leave cover

The successful candidate will have:
Essential Criteria:

• Leaving certificate or equivalent standard of education
• Minimum of 1 years’ experience of working in an administrative role
• Excellent computer skills especially in Microsoft Excel and Outlook, and proved ability to adapt to changing computer technology
• Fluent in both spoken and written English
• Experience of working at reception
• Knowledge of a hospital/clinical/medical environment
• Broad Knowledge of Enable Ireland and its work
• Knowledge of the ethos, values and model of working within Enable Ireland.
• Demonstrate the ability to multitask and coordinate tasks
• Knowledge of the ethos, values and model of working within Enable Ireland

Desirable Criteria;

• Qualification in administration or similar
• Experience of working in a health care setting
• Full clean drivers licence
• ECDL or similar
• Experience using database systems.
• Good knowledge of relevant legislation e.g. FOI, GDPR etc
• Knowledge and understanding of current issues in the field of disability services
• Understanding of Enable Ireland’s partnership with the HSE
